DUTIES AND RESPONSIBILITIES

This description of duties and responsibilities is intended to indicate the kind of tasks required of the position. It does not limit or exclude other duties not mentioned here but required for the successful execution of the post.

Finance Management and accounting:

Review and present cash advance requests for review by CD before disbursement to the field staff.

· Review petty cash and program expense reports from the field staff and present them to CD for final review

· Maintain and secure proper document files for all HealthRight transactions.

· Enter all HealthRight financial transactions accurately into the finance software in use e.g QuickBooks using appropriate accounting codes

· Daily update of finance records (QuickBooks) cash book for all HealthRight International – Kenya bank accounts.

· Provide timely and accurate payments to all vendors and utility providers.

· Preparation of payroll deductions schedules as per payroll presented by CD.

· Monitor & maintain proper schedule of staff salary advance

· Manage all cash held in the office ensuring that only proper and authorized expenditure is incurred.

· Ensure safe custody of petty cash and all HealthRight property in his/her possession.

Budgeting, Controlling and reporting

· Prepare budgets both for projects and the Country Office (admin/overhead budget)

· Ensure all expenditures are within the budgets’ limits and any deviation is well explained

· Provide regular finance overview reports for the CD

· Prepare monthly management accounts for Headquarters

· Prepare donor reports as stipulated in contracts/requirements

· Provide finance management support and training to implementing partners (as appropriate).

Administration

· Ensure compliance /adherence with HealthRight financial procedures and guidelines

· Assist to present accounting documents for both internal & external auditing.

· Participate in any review of personnel and finance policies.

· Ensure prompt and adequate communication and responses to colleagues, community and partners to build proper response and ensure effective coordination of all activities staff or organization is involved in.

· Any other duties as may be assigned.

· Preparation of finance cash requests and reports for the HQ Office

· Review Healthright expenditures through signing of program advances, expenses reports, DRs, LPOs and invoices

· Ensure Healthright is compliance with all tax and relevant laws in Kenya

· Perform other duties as assigned by the CD or Headquarters

The job holder Should

· Have a minimum of 5 years in a similar position also with international accounting

· Hold a minimum of Bsc (Finance) degree or CPA II

· Be a member of Institute of Certified Public Accountants of Kenya (ICPAK)

· Have experience in budgeting and able to use different templates

· Be able to work independently with a great level of accuracy

· Have excellent communication skills both verbally and written

· Experience working in USAID funded programs is an advantage.
