Job Vacancy: Training Coordinator

Background:

The HIV / AIDS Service Delivery Support Activity (HSDSA) is a five-year USAID- funded project led by PATH with consortium partners Initiatives Inc., Data Blink, AMREF, NOPE, ICL, KRCS and HFG. 

The program is implemented in five counties of Nyanza region: Homa Bay, Kisumu, Migori, Nyamira and Kisii. 

 

The Training Coordinator will be an Initiatives Inc. employee working as an integral member of the PATH-led project team.

Location: Kisumu

Job Summary: The Training Coordinator contributes to the project’s achievements related to ensuring a skilled and high-performing workforce through the coordination and provision of service delivery and service management training. 

Working under the Health Systems Strengthening Advisor, s/he will coordinate with project service delivery experts, county and sub-county health managers and nationally recognized local training institutions to ensure staff are trained to provide essential HIV prevention, care and treatment services. 
 

Responsibilities and Duties

  • Lead coordination and implementation of training for clinical and non-clinical service delivery staff and health service managers at county, sub-county, facility and community levels.
  • Ensure project workplan activities are carried out and that staff training targets are achieved.
  • Work with project technical leadership and S/CHMT staff to agree conduct training needs assessments and prioritize training topics and cadres.
  • Liaise with nationally recognized local training institutions to coordinate provision of key trainings.
  • Coordinate practical and innovative training approaches such as distance learning, on-the-job training, and preceptorship as well as traditional residential training programs. 
  • Work with the Technical Advisor for Human Resources for Health and county and sub-county managers to ensure appropriate training selection and tracking through iHRIS systems.
  • Contribute to project workplanning, reporting and other project technical program administration and management activities as required

Desired Qualifications

  • Degree in clinical medicine or nursing, with prior experience in health education or training
  • Masters of Public Health or other related graduate or professional degree
  • A minimum of five years managing health provider and health manager training
  • Experience working with Kenyan health training institutions and management structures (CHMTs, SCHMTs and facilities)
  • Highly professional comportment and ability to provide high-quality technical assistance to regional, county, and sub-county leaders and represent the project among other government and donor stakeholders
  • Proficiency with Microsoft Office and other common software
  • Ability to travel 50% of the time
  • Professional fluency in English and Swahili

Project: Kenya Supply Chain Systems Strengthening

General Summary and Background: The purpose of the Kenya Supply Chain Systems Strengthening (KSCSS) Activity under the USAID Global Health Supply Chain Program – Procurement and Supply Management project is to address the supply chain and health commodity systems strengthening needs of the family health, malaria and HIV∕ AIDS programs within Kenya.  

 

This will be directed through technical assistance (TA) at both national and county level. 

The Activity will support the Ministry of Health’s (MOH) Department of Family Health (DFH), National Malaria Control Program (NMCP), and the National AIDS and STI Control Program (NASCOP) and the County Health Management Teams in 14 counties. 

The VAT/Data Entry Assistant will support the Finance and Accounts team based in the Nairobi office. The position will report to Finance and Accounts Specialist, Nairobi. 


Principal Duties & Responsibilities (Essential Functions):

 

She/he will Support Finance and Accounting Team with all administrative needs which include;  

  • Handle the administrative functions associated with the DA1 process to claim VAT for the KSCSS activity. 
  • This includes liaising with Finance and accounts team to retrieve back-up documentation/Invoices, preparing the DAI forms in quadruplicate, liaising with the vendor for typing, ensuring the necessary copies are made and ensuring delivery of the DAI forms to USAID.
  • Maintain and update VAT tracker on a daily basis.
  • Scanning and filing soft copies of financial documents in share point and hard copies in line with finance and office procedures.
  • Photocopying, binding documents, and retrieving any necessary back-up documentation to ensure that all accounting and finance files are complete and filed safely.
  • Collects, records, deliver (e.g. NSSF & NHIF) and distribute cheques and payments remittance slips to respective vendors.
  • Maintain stock records for stationery and supplies for the office, prepare request for replenishment in line with office procedures.
  • Undertakes other activities and performs any other tasks as may be assigned from time to time.

Job Qualifications

  • Certificate in Administration or other related studies
  • Three years professional experience. Experience in processing DA1 forms will be an added advantage.
  • Excellent interpersonal and communications skills.
  • Ability to work in a team environment is a must.
  • Ability to exercise confidentiality and high levels of professionalism.
  • Computer skills including strong knowledge of Microsoft Excel, Word and Office applications.
  • Written and spoken fluency in English required.

Key Responsibilities

Reporting to the Financial Director and Managing Director, the purpose of this role is:

  • Manage a team in the accounts department.
  • Ensure accurate daily posting of accounting entries in the tally system i.e Journals, customers & vendors’ invoices, assets acquisition & disposal, receipts and payments etc
  • Monthly inventory reconciliation between the system and physical
  • Monthly Activity prices updating (Plan the Activity Prices, Overhead Percentage Rates
  • Modification & Quantity Based overhead Rates)
  • Monitoring spares, briquette, steam and biomass consumption and ensuring the same is updated in the system and within budget.
  • Co-ordinate all the statutory audits and ensure compliance with government laws.
  • Year end closing & Opening of new year (Document numbers, Assets and Co prices & numbers)
  • Coordinate with other module users and liaising with the offsite support team on need basis and developments
  • Bear responsibility for the preparation of Monthly management accounts and yearly budgets in line with the company’s standard format.
  • Any other additional duties as may be assigned by management from time to time.

Key Requirements

  • Excellent numeric and literacy skills.
  • Advanced Microsoft Excel and IT skills
  • 5 – 6 years working experience, knowledge in tally will be an added advantage.
  • Ability to complete complex reconciliations over high volumes of data.
  • Ability to work accurately and effectively with multiple priorities and deadlines in a fast paced environment.
  • Ability to detect, research and report data inconsistencies and out of balance situations.
  • A degree in Finance or accounting and qualified Accountant CPA (K)
