ABOUT NEAR NETWORK

Adeso together with other local and national NGOs have come together to form a global network which was launched in May 2016 at the World Humanitarian Summit in Istanbul, Turkey. The network, NEAR (Network for Empowered Aid Response), is a movement of local organizations with a bold ambition – to reshape the top-down humanitarian and development system to one that is locally driven and owned, and is built around equitable, dignified and accountable partnerships.

BACKGROUND FOR CONSULTANCY

NEAR Network and Adeso intends to build a strong partnership with their donors, partners and NEAR members. To pursue this intention, NEAR and Adeso publish a wide range of materials and is planning to contract a Creative/Digital Production Consultant to help the office meet its growing need for various communication productions, marketing and program development. The successful candidate will produce NEAR and Adeso soft and hard copy collaterals and publications. The responsibility of this consultancy is to ensure the implementation and adherence to existing graphic guidelines; layout of reports and publications in mostly English and at times other languages such as Arabic or French development of new graphic solutions; and design of innovative products.

SCOPE OF WORK

· Production & Copy Editing of NEAR/ADESO documents including but not limited to:

• NEAR Quarterly Newsletter

• Innovative Financing Research Publications

• Localization Success Stories

· Support management of the NEAR website, including the Learning Platform, by uploading up-to-date content, localization stories, newsletters (written or video format), resources, webinars among other relevant content.

· Provide design support to ADESO/NEAR global team for various projects.

· Provide program development support ADESO/NEAR.

· Other duties as assigned.

CONSULTANCY PERIOD

March to May 2018, with a possible extension.

DELIVERABLES

Quality design for various assignments from NEAR and Adeso, completed in line with NEAR and Adeso branding requirements and within specified deadlines.

QUALIFICATIONS

· Strong theoretical and practical background in graphic design, including the use of design software such as Adobe Design Premium, In-Design, CorelDraw, web design tools such as Dreamweaver and Flash, etc.

· Show a clear and mature style of design, demonstrating an understanding of the communication requirements NEAR Network.

· Excellent writing skills; writing in accessible format

· Good understanding of new and evolving technologies and digital platforms; Knowledge of standard software packages, including MS Office– MS Access–MS Visio –Adobe Acrobat;

POSITION SUMMARY

Under the direct supervision of the Senior Operations Officer, the Gardener will be responsible for ensuring that the Adeso HQ compound is well kept and maintained, including the flower gardens within. S/He will also support other departments with handy work whenever required. Flexibility will be required when the Office Cleaner is away.

POSITION PURPOSE

1. Maintaining the gardens around the office.

2. Ensuring general cleanliness around the compound premises.

3. To give general support to other departments.

SPECIFIC ROLES AND RESPONSIBILITIES

General:

· Maintaining the general cleanliness around the compound.

· Watering and maintaining the flowers in the flowerpots.

· General cleaning of the window glasses.

· Reporting any damages or breakages whenever they occur around the compound.

· Collecting and assembling garbage ready for garbage collection.

Cleaning:

· Cleaning the main entrance verandah including balcony attached.

· Ensuring that office mats are changed and washed regularly.

· Ensuring that the tent meeting area outside the office is maintained, tidy and well arranged.

· Keeping the general area around the kitchen clean and tidy.

· Emptying the respective cleaned office dustbins.

Gardening:

· Trimming the grass and flowers around the office.

· Maintaining the flower gardens.

· Trimming the fence around the office.

Others:

· Assisting in the kitchen while the cleaner is away.

· Substituting Office Cleaner while on leave.

· Supporting other departments on handy work whenever required

· Previous experience in a similar role required.

SPECIFIC ROLES AND RESPONSIBILITIES

· Front office /Reception management including guiding and welcoming visitors, answering calls, responding to enquiries, taking/relaying messages etc.

· At least two (2) years’ experience in front office work required.

· Good understanding of logistics required.

· Experience in customer service skills related to suppliers required.

· Ability to manage several tasks simultaneously, be flexible and be willing to assume a range of unanticipated assignments.

POSITION SUMMARY

Under the direct supervision of the Senior Operations Officer, the Operations Assistant – Maternity Cover will be responsible for assisting the Operations Department in the tasks specified below.

SPECIFIC ROLES AND RESPONSIBILITIES

· Ensure that flights to Somalia, Kenya and South Sudan are booked on time and in the most effective manner.

· Support in the reconciliation of flight, taxi and accommodation payments.

· Ensure bookings for accommodation for visiting staff and consultants.

· Support in booking venues for meetings and trainings when required.

· Support the Procurement Department in ensuring that all supplies, services and equipment required are delivered in time.

· Assist in ordering and receiving of supplies from various vendors.

· Support in the timely dispatch of cargo to Somalia and South Sudan.

· Assist in the archiving system update and management with proper labels.

· Assist in maintaining procurement requests from different departments and prepare purchase plans with a view of ensuring cost effectiveness, timely procurement and quality of goods.

· Assist in keeping track records of all contracts for travel agency and payments.

· Assist in sending requests for quotations to the supplies and getting the quotations from different suppliers for comparison.

· Assist in raising payments and purchase request.

· Assist in verify and submitting of payments to finance when required.

· Ensure the proper filing of the departmental documents.

· Assisting staff with scanning, printing, photocopying, binding and lamination when required.

· Stand in for the receptionist during their absence.

· Assist in the updating of phone extensions and sharing with Nairobi staff

About the Program

The Disasters and Emergencies Preparedness Program (DEPP) Innovation Lab is a 22 months project being implemented by the AIM (Adeso, iHub MasterCard) Consortium. The objective of this program is to increase preparedness and resilience of disaster-prone communities in Garissa and Marsabit counties of Kenya by drawing on their deep knowledge of pastoralist.

The Consortium will undertake activities to meet the objective by utilizing the Consortium members’ in house experience in managing labs and proven innovation methodology as well as experience in disaster management. The project will build up communities’ capacities to identify and evaluate the risks related to natural disasters and innovative mitigation measures to address these gaps. The Consortium will identify and reinforce existing disaster coping mechanisms and refine new contingency measures emerging from the target communities.

The Consortium will also ensure participation of rural communities at the village level rather than focus on urban issues, as an innovation labs need to.

SCOPE OF WORK

AIM Consortium is seeking the services of a web development consultant or firm to design and develop a dynamic website for this program as part of its overall communication strategy. The website should be developed with the involvement of all stakeholders. It should also be a modern site incorporating social media. AIM is therefore looking for a qualified individual consultant or consultancy firm to design, develop and deploy the website.

The consultant will be expected to perform the following tasks:

  1. Assess website needs of Disasters and Emergencies Preparedness Program (DEPP) Innovation Lab project and advise on best web platform and design in line with the program’s objectives and aspirations;

  2. Website design and build, based on a Word Press platform, with pages with graphics and copy. All copy will be written by AIM Consortium, photographs will be provided by AIM and website will be populated by the consortium using the admin tool;

  3. Develop a comprehensive marketing plan for the website, including Search Engine Optimization (SEO) activities;

  4. Create site map based on key objectives, messaging priorities, and brief supplied;

  5. Design and develop the website as per the specifications outlined by the AIM consortium;

  6. Incorporate social media applications into the website (including Facebook, Twitter, Instagram or YouTube, and Flickr);

  7. Incorporate google analytics into the website;

  8. Incorporate detailed search tool/function into the website;

  9. Provide user training;

  10. Set-up website back-up systems;

  11. Provide complete technical documentation of any developed themes and templates, and full technical specification and setup mapping of any 3rd party WordPress plug-ins used.

DELIVERABLES

The consultant will be expected to deliver the following:

  1. Report on website needs based on assessment carried out

  2. Website Map;

  3. Website templates;

  4. Fully functional website in line with specifications outlined by AIM;

  5. Website marketing plan;

  6. Website training;

  7. Detailed written website guidelines;

  8. Technical documentation of any developed themes and templates, and full technical specifications and setup mapping of any 3rd party WordPress plug-ins used;

  9. Back-up copy of the website.

CONSULTANCY PERIOD

The consultancy should be completed within a maximum of 20 workings days. The website should be ready to go live by end of March 2018.

QUALIFICATION PROFILE

The consultant (or firm) will have:

· Advanced University degree in information technology, computer science, communications, information science, public relations or any related discipline;

· Extensive experience in web site development, management and marketing exemplified by an evidence of a good understanding of the assignment;

· Must have demonstrated experience on how to develop and incorporate social media applications into a website;

· Experience in developing websites for community development sector and Non-Governmental Organizations in the region.

SELECTION CRITERIA

The shortlisted service providers will be expected to make a presentation of no more than 30 minutes to the selection committee on how they propose to address AIM requirements. You will be expected to show the capacity and quality of the service you can provide to the consortium and a list of other clients as referees.

POSITION SUMMARY

This position is part of the Pastoralist Youth Education Initiative (PYEI) is a multi-donor project that forms the second phase of Adeso’s approach to enhance economic and social opportunities of marginalized pastoral children in Marsabit, Kenya through improved access to quality education. Taking a holistic approach, the PYEI is looking to build on the successes and lessons learned from a 2 year pilot Mobile Non-formal Education (MNFE) in providing access to primary and post primary education for pastoralist youth focusing on female participation. Adeso is seeking qualified and committed individuals to join the PYEI team as Community mobilizers (CM). The incumbents will be the project ambassadors in the community and work closely with the project team and the teacher to monitor activities on the ground. CM will be incharge of a Mobile School to support in the field, including follow up with the associated Community Education Committees (CECs).

SPECIFIC ROLES AND RESPONSIBILITIES

· Conduct community sensitization meetings in targeted communities.

· Encourage full participation by all community members, paying special attention to women.

· Assist in recruitment of teachers.

· Facilitate selection and training of CEC members.

· Assist CEC and community members and teachers to develop selection criteria and identify pupils to participate in the project.

· Gather and collate monitoring data and report on findings from field monitoring activities.

· Work with the M&E Officer to learn how to conduct analysis of the monitoring data.

· Assist the M&E Officer with the organization of semi-annual stakeholder meetings.

· Assist the Senior Project Officer and the Cashier/Clerk with other aspects of project implementation as required.

· Resident of Marsabit County

· At least 1 year of relevant experience

This position is part of the Pastoralist Youth Education Initiative (PYEI) is a multi-donor project that forms the second phase of Adeso’s approach to enhance economic and social opportunities of marginalized pastoral children in Marsabit, Kenya through improved access to quality education. Taking a holistic approach, the PYEI is looking to build on the successes and lessons learned from a 2 year pilot Mobile Non-formal Education (MNFE) in providing access to primary and post primary education for pastoralist youth focusing on female participation. Under the direct supervision of the Project Coordinator, the teacher will be responsible to implement and evaluate the Non formal education curriculum and impart knowledge, skills, develop personality and character that will provide a lasting and inspiring impact on the lives of pupils to develop a positive attitude.

SPECIFIC ROLES AND RESPONSIBILITIES

  1. Curriculum implementation and evaluation

· To prepare all professional records for curriculum implementation

· Develop teaching/learning resources for effective and motivating lessons

· Keep all records and use them to improve performance

· Conduct continuous assessment tests and terminal exams, mark and record results

· Train children in co-curricular activities so as to compete with others

· Participate in timetable review with the CECs

· Keep records of all monitoring tools including the exit forms, class register, NFEC pupils performance

  1. Facilitate community participation in promoting non formal education

· Train parents on basic concepts of upbringing their children

· Participate in CEC meetings in the NFECs

· Participate in community mobilization and sensitization about the project

· Involve the community through the CECs to support education

· Encourage the community to give girls equal chance in education through mobilization

· Encourage the CECs and Pupils to make the centre environmentally friendly

  1. Managing Non formal Education Centre (NFEC) Resources

· Responsible for proper management of centre resources issued for promoting teaching/learning environment i.e textbooks, teaching aids and etc

· Accountable for keeping proper and accurate list of books issued to NFEC pupils

· Ensure proper utilization of any used material during classroom instruction

· Ensure proper storage and safety of equipment/materials after use by children, this includes the floor mat, tent, textbooks, register and football materials

  1. Promote partnership with local educational institutions

· Regularly monitor the attendance, scholastic performance and learning needs of the children in the NFEC in close liaison with Adeso MNFE project staff

· Initiate close relationship with teachers from the local primary schools to share approaches for effective teaching in the NFEC

  1. Development of human potential in students

· Prepare high achieving pupils for post primary education

· Develop the pupils potential abilities to their maximum through a variety of experiences

· Develop in pupils, an awareness and appreciation of education in the field of education and an ability to utilize them

· Develop in pupils, an awareness of the principles which underline good human relationship and use of these in their dealings with the community

· Prepare the pupils to face life with self-confidence and independence

· Promote clear logical thought and critical judgment

· Offer carrier guidance to pupils

· Conduct counselling for pupils in need of counselling. Liaise with parents of individual learners for effective delivery of counselling services

SKILLS AND QUALIFICATIONS

Essential:

· BED primary option/P1 teachers’ certificate

· At least one year experience in a similar position

· Ability to teach Kenya primary curriculum

· Ability to work well with minimal supervision

· Good communication skills and organisational skills

· Ability to establish strong working relationship with the community

· Willing to travel and work regularly within remote areas

· Ability to work as part of a team

DEPP LAB PROJECT

The DEPP Lab project is a 22 months project being implemented by the AIM-DEPP Lab consortium whose objective is to increase preparedness and resilience of disaster-prone communities in Garissa and Marsabit counties of Kenya by drawing on their deep knowledge of pastoralist.

The consortium will undertake activities to meet the objective by utilizing the consortium members’ in house experience in managing labs and proven innovation methodology as well as experience in disaster management. The project will build up communities’ capacities to identify and evaluate the risks related to natural disasters and innovative mitigation measures to address these gaps.

The consortium will identify and reinforce existing disaster coping mechanisms and refine new contingency measures emerging from the target communities. The consortium will also ensure participation of rural communities at the village level rather than focus on urban issues, as innovation labs need to.

POSITION SUMMARY

The DEPP Innovations Manager will be expected to support innovators in the target communities. The Innovations Manager will assist in ideation and prototype process of innovations and their suitability for development by the Labs. The Innovations Manager will enable and promote a culture of innovation in the labs. S/he will leverage best practices and learning, incorporate new ideas and assimilate with DEPP Labs innovation processes.

This position requires the demonstrated ability to facilitate and document the innovations process in newly established labs.

POSITION SUMMARY

The main purpose of the position is to provide technical support in the Finance Department through financial reporting, internal control management and administrative support.

SPECIFIC ROLES AND RESPONSIBILITIES

Finance Roles

· Capturing all financial transactions in a timely and accurate manner for the purpose of generating management and donor reports.

· Processing payments while ensuring adherence to minimum compliance requirements by Adeso and the donor.

· Ensuring the internal controls within the computerized accounting systems are safeguarded and working well

· Allocation of expenses to the relevant programs and department.

· Tracking the employee advances on monthly basis and following up on the recovery process or management action

· Undertaking monthly closeout procedures such as bank accounts reconciliations etc.

· Undertaking reconciliation of all balanced sheet items periodically and ensure that all the accounts are kept current and all reconciling items identified and reconciled.

· Preparing monthly management accounts, BVAs and periodic donor financial reports as per Adeso and donor reporting guidelines

· Managing the fixed assets register and all accounting requirements in the assets management e.g. reconciliation of assets with the accounting system records.

· Ensuring that fund requests are received, reviewed, analysed and disbursed within the given timeframe.

· Supporting the Senior Finance Officer in the preparation of annual financial statements and timely completion of annual audits.

· Supporting all Adeso program and non-program audits.

· Supporting in staff orientation on Adeso financial guidelines and requirements in order to implement activities and execute budgets accordingly.

Administrative Role:

· Contributing to the establishment and maintenance of a harmonious working environment; while strengthening team-building by encouraging active participation and interaction at all levels.

· Managing and supervising Finance interns, assigning tasks accordingly

· Filing statutory deductions in a timely manner with the relevant authorities.

· Ensuring systematic filing of all supporting documentation for the project.

· Supporting HR with the staff payroll and ensuring its accuracy.

· Performing appraisals for Finance Department interns and volunteers

· Attending meetings related to areas of responsibility.
